Is there such a thing as an “FTA POS”? Short answer: the Federal Tax Authority sets the rules for tax invoices and e-invoicing, and your POS needs to help you follow them. Here is what to check, in plain terms.

What a UAE VAT receipt should show

For VAT-registered businesses, a tax invoice or simplified tax invoice normally carries:

  • The words “Tax Invoice” or “Simplified Tax Invoice”
  • Your business name, address and Tax Registration Number (TRN)
  • The date of the sale and a unique invoice number
  • A description of what was sold, quantity and price
  • The VAT amount in AED and the total

Pause POS prints VAT 5% receipts with your TRN and a QR code, in English and Arabic. Confirm the exact wording rules for your business with your accountant or the FTA guidance, because they depend on your VAT registration and the type of customer.

Receipts, VAT and zero-rated items

Standard-rated items carry 5% VAT. Some items are zero-rated or exempt. Your POS should let you set the VAT treatment once per product, so the cashier never has to decide at the till.

What about e-invoicing?

The UAE is moving towards electronic invoicing using the PINT-AE format. Invoices are exchanged through an accredited service provider (ASP) that your business chooses. Pause POS generates PINT-AE UBL 2.1 XML (in beta); submission goes through your chosen ASP. If the rules or the format change, the software may need updating before submissions work again.

Questions to ask any POS vendor

  1. Does every receipt show my TRN, the VAT amount and a unique number?
  2. Are receipts available in Arabic and English?
  3. Can I mark products as standard, zero-rated or exempt?
  4. How does it work with an accredited service provider for e-invoicing?
  5. What happens to my sales if the internet drops?

Bottom line

Be careful with any vendor claiming to be “FTA approved”. Ask what exactly is approved, by whom, and get it in writing. A better test is whether the receipts and exports contain what the rules ask for.
